  • Terms & Conditions

    By booking any tour package or travel service with Trip India Trekking & Holidays, the traveller agrees to the following Terms & Conditions.

    1. Payment Terms

    Full payment of the total trip cost must be completed at least 7 days before the scheduled departure date, unless otherwise agreed in writing.

    Failure to make the pending payment within the specified timeline may result in cancellation of the booking.

    Any booking confirmation is subject to successful receipt and realization of payment.

    2. Hotel Check-In and Check-Out

    Standard hotel check-in and check-out timings will be as per the respective hotel's policies.

    Early check-in and late check-out are subject to availability and may involve additional charges payable directly to the hotel.

    Travellers are requested to cooperate with hotel policies and procedures.

    3. Transportation Services

    Transportation will be provided strictly according to the confirmed itinerary and will not be available at the traveller's personal disposal unless specifically included in the package.

    Please note that:

    • Air conditioning may not operate in hilly or mountainous areas.
    • Vehicle type may be changed depending on road, weather, operational, or local conditions.
    • In case of heavy snowfall, landslides, road closures, traffic restrictions, or similar situations, a special vehicle such as a 4x4 may be required. Any additional cost for such services shall be payable by the traveller unless otherwise specifically included in the package.

    4. Changes in Package Price

    Package prices may change due to circumstances beyond the control of Trip India Trekking & Holidays, including but not limited to:

    • Changes in hotel rates
    • Changes in transportation costs
    • Flight fare increases
    • Government taxes or fees
    • Fuel price increases
    • Festivals, fairs, or peak-season surcharges
    • Force majeure events
    • Strikes or protests
    • Weather conditions
    • Road closures
    • Traffic restrictions
    • Natural disasters
    • Hotel or flight overbooking
    • Flight cancellation or rerouting
    • Government restrictions
    • Closure of tourist attractions or destinations
    • Entry restrictions at any destination

    We will make reasonable efforts to arrange suitable alternatives wherever possible. However, Trip India Trekking & Holidays shall not be responsible for refunds or compensation for changes caused by circumstances beyond our reasonable control.

    5. Changes to Hotels or Tour Programme

    Trip India Trekking & Holidays reserves the right to:

    • Change the hotel with another hotel of a similar category
    • Modify the sightseeing schedule
    • Change the route
    • Reschedule activities
    • Modify the tour programme

    Such changes may be made due to operational requirements, weather conditions, road conditions, government restrictions, hotel availability, transport availability, or other unavoidable circumstances.

    Any such change will be made while making reasonable efforts to maintain the overall quality and experience of the tour.

    6. Cancellation by the Company

    Trip India Trekking & Holidays reserves the right to cancel a booking or tour due to:

    • Operational reasons
    • Safety concerns
    • Government restrictions
    • Insufficient group size
    • Natural disasters
    • Political disturbances
    • Force majeure events
    • Other unavoidable circumstances

    Where a trip is cancelled by the company for reasons within its reasonable control, the applicable refundable amount will be processed according to the booking terms and after adjustment of any non-refundable payments already made to hotels, airlines, transporters, or other service providers.

    7. Booking Transfer and Modification

    Once a booking is confirmed, any request for:

    • Cancellation
    • Transfer to another person
    • Change of traveller
    • Date modification
    • Package modification

    will be subject to the applicable cancellation or amendment charges of hotels, airlines, transport providers, and other service partners.

    Any change will be processed only after confirmation from the concerned service provider.

    8. Vehicle Breakdown or Operational Issues

    In case of vehicle breakdown, mechanical failure, road blockage, accident, or other transportation-related issue, travellers may be required to wait until:

    • The vehicle is repaired, or
    • An alternative vehicle is arranged.

    Trip India Trekking & Holidays will make reasonable efforts to arrange an alternative as quickly as possible.

    Delays caused by mechanical breakdown, road conditions, weather conditions, traffic jams, government restrictions, or other circumstances beyond our control shall not automatically create a right to compensation or refund.

    9. Traveller Responsibility

    Every traveller is responsible for:

    • Following the laws of the destination
    • Carrying valid identification and travel documents
    • Following instructions given by the Tour Manager or authorised representative
    • Maintaining discipline during the trip
    • Taking care of personal belongings
    • Avoiding unlawful or prohibited activities
    • Following safety instructions

    Travellers shall be solely responsible for any consequences arising from:

    • Possession of illegal or banned substances
    • Violation of local laws
    • Illegal activities
    • Personal negligence
    • Unsafe behaviour
    • Failure to follow safety instructions

    10. Personal Belongings and Luggage

    Travellers are personally responsible for their:

    • Luggage
    • Cash
    • Jewellery
    • Mobile phones
    • Cameras
    • Documents
    • Electronic devices
    • Other personal belongings

    Trip India Trekking & Holidays, its employees, representatives, tour managers, drivers, hotels, and service partners shall not be responsible for loss, theft, or damage to personal belongings during the tour, except where liability is established under applicable law.

    11. Departure Time and Group Discipline

    All departure timings mentioned in the itinerary or communicated by the Tour Manager must be followed.

    Travellers must:

    • Report at the designated place on time
    • Keep the Tour Manager informed about their status
    • Follow group movement instructions

    Reasonable attempts may be made to contact a delayed traveller before departure. However, a traveller who misses a scheduled departure due to personal delay may have to arrange transportation at their own cost and will not be entitled to a refund for any missed service.

    12. Behaviour and Misconduct

    Trip India Trekking & Holidays aims to provide a safe, respectful, and comfortable travel experience for all travellers.

    The following behaviour will not be tolerated:

    • Physical violence
    • Verbal abuse
    • Harassment
    • Misconduct
    • Anti-social behaviour
    • Damage to property
    • Illegal activities
    • Carrying prohibited substances
    • Repeated violation of tour rules
    • Disrespectful behaviour towards fellow travellers, Tour Managers, drivers, hotel staff, or local service providers

    The Tour Manager or authorised representative reserves the right to remove or discontinue the services of any traveller whose behaviour creates a safety risk or seriously disrupts the tour.

    Any refund, if applicable, will be considered only in accordance with the booking terms and after deducting non-refundable and already-used services.

    13. Smoking and Alcohol Policy

    Smoking is not permitted inside tour vehicles.

    Consumption of alcohol inside vehicles is prohibited unless specifically allowed under applicable local laws and permitted by the service provider.

    Any traveller behaving irresponsibly or causing disturbance due to alcohol consumption may be removed from the tour for safety reasons.

    14. Health and Safety Guidelines

    Travellers must follow all applicable health, safety, and government guidelines during the journey.

    Where any health advisory, epidemic-related rule, government guideline, or destination-specific safety requirement is in effect, travellers must comply with it.

    Travellers should inform the company in advance of any special assistance requirements that may affect their participation in the trip.

    15. Tour Manager Support

    Depending on the package and group arrangement, a physical or virtual Tour Manager may be assigned.

    The Tour Manager's role is to:

    • Assist with coordination
    • Provide travel-related information
    • Support the scheduled itinerary
    • Coordinate with local service providers
    • Help resolve operational issues where reasonably possible

    The Tour Manager cannot guarantee changes in hotel, transport, weather, traffic, government restrictions, or third-party services.

    16. Photography and Promotional Use

    Trip India Trekking & Holidays may take photographs or videos during group tours, events, or travel activities for promotional, social media, advertising, or marketing purposes.

    Travellers who do not wish to appear in such promotional content should inform the Tour Manager or company representative at the beginning of the trip.

    We will make reasonable efforts to respect such requests.

    17. Third-Party Service Providers

    Trip India Trekking & Holidays acts as an organiser and coordinator of various travel services that may be provided by independent third parties, including:

    • Hotels
    • Airlines
    • Railways
    • Bus operators
    • Taxi operators
    • Transport companies
    • Local tour operators
    • Guides
    • Activity providers
    • Cruise operators
    • Ferry operators

    Services provided by third parties are also subject to their respective terms, conditions, cancellation policies, and operational rules.

    18. Force Majeure

    Trip India Trekking & Holidays shall not be held responsible for delays, changes, cancellation, or non-performance caused by events beyond reasonable control, including:

    • Natural disasters
    • Floods
    • Earthquakes
    • Landslides
    • Heavy snowfall
    • Extreme weather
    • War
    • Terrorism
    • Civil unrest
    • Strikes
    • Epidemics or pandemics
    • Government restrictions
    • Flight cancellation
    • Road closure
    • Political disturbance
    • Closure of tourist attractions
    • Any other force majeure event

    Any additional expenses arising due to such circumstances may be payable by the traveller.

    19. Acceptance of Terms

    By making a booking, submitting payment, joining a tour, or using the services of Trip India Trekking & Holidays, the traveller confirms that they have read, understood, and accepted these Terms & Conditions.
